In short: we collect only what you choose to send us and the technical data needed to run the Website securely. We use it to respond to you and to operate our business. We do not sell it, and we do not use advertising or analytics cookies.

1.Introduction

CKL TECHNOLOGIES (“CKL TECH”, “we”, “us” or “our”) is a software engineering and cybersecurity company based in Kumasi, Ghana. We respect your privacy and are committed to protecting the personal data we hold.

This Privacy Policy applies to personal data we collect through our website at ckl-technologies.com (the “Website”) and through communications you send to us. It does not apply to personal data we process on behalf of our clients when delivering services; that processing is governed by our agreement with the relevant client.

We handle personal data in accordance with the Data Protection Act, 2012 (Act 843) of Ghana and any other data protection laws that apply to us.

2.Who is responsible for your data

CKL TECHNOLOGIES is the data controller responsible for personal data collected through the Website. If you have any question about this policy or about how we handle your personal data, contact us at info@ckl-technologies.com.

3.Personal data we collect

Information you provide to us

  • Contact form: your full name, email address and message and, if you choose to provide them, your phone number, company, the service or type of project you are interested in, and an indicative budget.
  • Project request form: your full name, email address, company or organization, industry, project type, project description and objectives and, if you choose to provide them, your phone number, role, website, required features, timeline, budget, details of any existing system and any other information you share.
  • Correspondence: the content of emails and any attachments you send to us, and our replies.

Information collected automatically

When you visit the Website, our servers automatically record technical information sent by your browser, such as your IP address, browser and device type, the pages you request, the referring page, and the date and time of each request. We use this information to operate and secure the Website.

Information we do not seek

We do not ask for, and ask you not to send us through the Website, sensitive personal data (such as information about health, religious or political beliefs, or criminal records), passwords, or payment card details.

4.How we use your personal data

We use personal data only for the following purposes:

  • to respond to your inquiry or project request and communicate with you about it;
  • to assess your requirements and prepare proposals, quotations and agreements at your request;
  • to deliver and manage services you engage us to provide;
  • to operate, maintain and secure the Website, including detecting and preventing fraud, abuse and attacks; and
  • to comply with our legal and regulatory obligations and to establish, exercise or defend legal claims.

We do not use your personal data for automated decision-making, and we do not send you marketing messages unless you have agreed to receive them. You may opt out of marketing communications at any time.

5.Lawful basis for processing

We process personal data only where we have a lawful basis to do so, namely:

  • Your request or a contract — where processing is necessary to take steps you have asked for before entering into a contract with us, or to perform a contract with you;
  • Legitimate interests — where processing is necessary for our legitimate interests in running, securing and improving our business and the Website, and those interests are not overridden by your rights;
  • Legal obligation — where we must process personal data to comply with the law; and
  • Consent — where you have given your consent, which you may withdraw at any time without affecting processing carried out before you withdrew it.

6.Cookies and similar technologies

The Website does not use advertising cookies, analytics cookies or third-party tracking technologies.

The Website stores one small, non-identifying setting in your browser’s session storage so that the introductory screen is shown only once per visit. It contains no personal data and is deleted automatically when you close the browser tab.

If we introduce analytics or other non-essential technologies in future, we will update this policy beforehand and, where the law requires it, ask for your consent.

7.How we share personal data

We do not sell, rent or trade your personal data. We share it only:

  • with service providers that host the Website and provide our email and IT services, who process it on our instructions and are required to keep it confidential and secure;
  • with professional advisers, such as lawyers and accountants, where necessary;
  • with courts, regulators, law enforcement or other public authorities where required by law, or where necessary to protect our rights, property or safety or those of others; and
  • with a successor organization in connection with a merger, acquisition or reorganization of our business, subject to equivalent protection of your personal data.

8.International transfers

Some of our service providers may store or process personal data outside Ghana. Where this happens, we take reasonable steps to ensure that your personal data receives a level of protection consistent with this policy and applicable law.

9.How long we keep personal data

We keep personal data only for as long as necessary for the purposes described in this policy. Inquiries that do not lead to an engagement are deleted once they are no longer needed to respond to you or to maintain reasonable business records. Information relating to clients is kept for the duration of the relationship and afterwards for as long as the law requires or as needed to resolve disputes. Server logs are retained for a limited period for security purposes.

10.How we protect personal data

We apply appropriate technical and organizational measures to protect personal data against unauthorized access, loss, misuse or alteration. These include encrypted connections (HTTPS), access restricted to those who need it, and secure configuration of our systems.

No method of transmission over the internet or of electronic storage is completely secure. If a security incident affects your personal data, we will notify you and the relevant authorities where the law requires us to do so.

11.Your rights

Subject to applicable law, you have the right to:

  • request access to the personal data we hold about you;
  • request correction of personal data that is inaccurate, incomplete or out of date;
  • request deletion of personal data we no longer have a lawful reason to keep;
  • object to, or ask us to restrict, the processing of your personal data;
  • object at any time to the use of your personal data for direct marketing; and
  • withdraw your consent, where processing is based on consent.

To exercise any of these rights, email info@ckl-technologies.com. We may need to verify your identity before responding. We will respond within a reasonable time and within any period required by law. If you are not satisfied with our response, you may lodge a complaint with the Data Protection Commission of Ghana.

12.Children

The Website is intended for businesses and adults. It is not directed at children under the age of 18, and we do not knowingly collect their personal data. If you believe a child has provided personal data to us, please contact us and we will delete it.

13.Third-party websites and social media

The Website may link to third-party websites and to our profiles on social media platforms. Those websites and platforms process personal data under their own privacy policies, and we are not responsible for their content or practices. We encourage you to read their policies before using them.

14.Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be published on this page with a new effective date. Where changes are significant, we will take reasonable steps to bring them to your attention. This policy should be read together with our Terms & Conditions.
